PAYMENT REQUIREMENTS
Reservations will be accepted on a first come, first serve basis. It is important that reservations be made at the earliest possible date to ensure availability of a certain tour. All reservations are TENTATIVE until deposit is received. Deposit (amount of deposit is listed on individual itineraries) is required in our Decorah office within one week of making your reservation to guarantee your reservation and full payment is required 4 weeks prior to a tour’s departure. If payments are not received by the deadline dates, Legacy Tour & Travel reserves the right to cancel your reservation.
TRAVEL DOCUMENTS
Two weeks prior to departure, passengers will receive a hotel/motel list, luggage tags, pick up point information and time assignments.
REFUNDS
As the departure date draws nearer, there is an increasing amount of advanced money that becomes non-refundable. Because of this, make sure you understand the following cancellation policies. If it is necessary for you to cancel your reservation on one of our motorcoach tours, refunds will be paid as follows:
Cancellations made more than 30 days prior to departure, you will receive a full refund less any tour expenses that are non refundable to Legacy Tours by our vendors (airline tickets, show/game tickets, etc).
Cancellations made 11 – 30 days prior to departure, you will receive a refund of 85% of your tour package price less any non refundable expenses.
Cancellations made 3 – 10 days prior to departure, you will receive a refund of 50% of your tour package price.
Cancellations made less than 3 days prior to departure, you will receive a refund of 20% of your tour package price. If you need to leave the group during the tour, no refunds will be paid.
Air, Rail, and Cruise Tours will be based on those dictated by the tour companies we are partnering with. These policies will be available in detail with the appropriate itineraries.
We encourage each passenger to consider trip cancellation & interruption insurance to help alleviate exposure to these potential losses.
DEPARTURE AND RETURN LOCATIONS
Individual vacation package pickup points include Decorah, Cedar Rapids, Waterloo, Mason City and Des Moines in Iowa along with Rochester and LaCrescent in Minnesota. Please call for details on an optional Marshalltown, IA pick up location. We will also pick up passengers at other in route locations when reasonable. Tour passengers are welcome to park in our Decorah or Marshalltown (when there is a Marshalltown pick up) parking lot, near bus garage. Otherwise, passengers need to make parking arrangements on their own.
SEAT ROTATION
Depending on destination or length of tour, seat rotation may take place. This rotation procedure insures that all passengers equally share in any advantage or disadvantage of seat locations. Note: Passengers paying for single occupancy will be assured of having a motel room to themselves. You may however (single or triple occupancy) need to share a pair of seats with another traveler while on the motorcoach.
SMOKING POLICY
Smoking on the motorcoach is prohibited. Rest stops should help alleviate any problems.
RESPONSIBILITY
Legacy Tour and Travel acts solely in the capacity as an agent on behalf of its tour patrons in arranging for transportation, lodging, sightseeing, and other services, and as such is not responsible for any damage, loss, delay, injury, or accident due to any act or default on the part of any company or person engaged in providing transportation, lodging, sightseeing, or other services which are part of our tours.
Legacy Tour and Travel expressly reserves the right to withdraw, shorten or make any change in the tour itinerary (including substitution of accommodations, attractions or transportation), with or without notice, that may become necessary for any reason (including National occurrence). If tour must be withdrawn or shortened, refunds will be based on costs recovered.
PARKING
Legacy Tour & Travel provides FREE parking, for tour passengers, in our parking lot located in Decorah, IA (also, Marshalltown, IA when there is a pick up for a tour in Marshalltown). Legacy Tour & Travel assumes NO responsibility for vehicles or possessions that are left at this location or any designated boarding areas. It is not recommended that anyone leave their vehicle overnight at any parking lot that has not been arranged. If arrangements have been made for certain boarding areas to park your vehicle, it will be noted in your departure letters. Otherwise passengers are responsible for making parking arrangements on their own.
OPTIONAL TRIP CANCELLATION INSURANCE COVERAGE
This pays lost deposits and additional expenses due to unforeseeable sickness, injury or death of you or an immediate family member. If you have any pre-existing medical conditions you need covered, the insurance needs to be paid within 7 days of making your original deposit. Otherwise you can purchase the insurance any time up to the final payment date of trip. A separate check must be written to Legacy Tour & Travel. Please call our office with any questions.
WEATHER RELATED INSTANCES
All tours will operate as scheduled unless cancelled by our office. If our office cancels a tour because of safety concerns, your payments will be refundable based on costs recovered. If passengers chose not to meet the motorcoach due to weather conditions, refunds will not be issued. Weather situations which are beyond our control that develop while a tour is already underway, will be dealt with to ensure your safety and to include as much of the original tour as possible. In the event that a weather delay forces the extension of a tour, the additional lodging expense will be the responsibility of the passenger.
FINAL TOUR INFO
Due to late sign ups and cancellations, the pick up points are determined approximately two weeks prior of tour departing. Departure letters with be sent at this time and will include departure location, time of pick up and return, dates of tour, balance due (if any), along with your luggage tags. Other appropriate information may be included.
ITINERARY INFO
Due to circumstances beyond our control, it may be necessary from time to time, to substitute meals, hotels and attractions during our tour. Each tour will state what is included in the price of tour, if available.
SPECIAL GROUPS
For your group of 30 or more, Legacy Tour & Travel would be happy to put together a special tour including your own departure location, tour date and requested interests in your itinerary. Just call our office and talk with any of our tour coordinators!
PORTABLE OXYGEN TANKS
Due to DOT regulations and requirements regarding the transportation of personal oxygen tanks, anyone needing to bring along a personal oxygen tank will need to let our office know in advance.
HOTELS
Legacy Tour & Travel assumes no responsibility for personal items lost or stolen during your stay at hotels during the tour. Any incidental room costs (ex: phone, movies, etc) will be the responsibility of the guest. Anyone who smokes in a non-smoking room will be charged $500 per occurrence.
